About the Organization
North Country Studio Workshops (NCSW) is a nonprofit 501(c)(3) organization based in New Hampshire. Founded in 1993, NCSW holds a conference every other January (currently in Bennington, VT), providing advanced-level workshops for professional and non-professional craftspeople and artists. Workshop topics and faculty change for each session, offering a variety of intensive and collaborative experiences. NCSW consists of four part-time staff members and up to 35 volunteer planning committee members as well as a board of directors.
NCSW operates on a two-year cycle. The first year of the cycle is a planning year for the workshops which includes but is not limited to orienting new Planning Committee volunteers, choosing faculty, and contracting our workshop location. The second year is the execution year for the workshops including advertising workshops, registration, planning programming for the workshops, and holding the workshops. Due to this, the nature of the work of the NCSW staff and volunteers varies over the course of the two years.
About the Job
Position Summary: The NCSW Registrar & Program Coordinator is 5 to 6 hours per week (average, higher in conference year cycle). This is a mostly remote, part-time position reporting directly to the Executive Director. The Registrar & Program Coordinator will oversee all conference registrations (biennial conference) and reports on enrollment, waitlists, and workshops. This position also tracks donations (annual appeal, others) in the NCSW FileMaker Pro database. Additional duties will include coordinating volunteers and administratively supporting the conference
Position Responsibilities
Registrar
Oversee all biennial conference registrations and produce weekly reports on enrollment, waitlists, and workshops during those time periods.
Serves as a liaison to conference registrants for questions.
Produce weekly reports on enrollment, waitlists and workshops during that time period.
Record donations (annual appeal, grants, others) in the NCSW database. (Data is provided by the bookkeeper.)
Maintain confidentiality and handle sensitive information with discretion.
During the biennial January conference, the registrar is in attendance for the full week at Bennington College in Bennington, Vermont.
On site at Bennington, oversee registration, check-in, and support activities and other staff during the week.
Monthly (virtual) staff meetings
Program Coordinator
Coordinate Planning Committee and other volunteers, especially for the conference, with oversight from Program Manager.
Coordinate Liaisons & Studio Assistants before and during the conference including the selection process, training, troubleshooting, and daily communication during the workshops, with oversight from Program Manager.
Support Program Manager with Faculty Selection Process.
Provide Admin Support for organization as needed.
Other duties as assigned
Qualifications
3+ years of experience in a closely related area as a professional or administrator in a registrar position
Solid technical working knowledge of FileMaker Pro preferred, but significant database management experience required
Must be able to communicate clearly and concisely and work effectively with a diverse population of volunteers, conference attendees, internal and external constituents at all levels
Demonstrated knowledge of and experience with data collection, data security, and handling of personally identifiable information.
Proven ability to build consensus and work effectively within a cross-functional team
Strong attention to detail, meet established deadlines, and work effectively on a team
Robust organizational skills and ability to work independently
Event management and/or customer service experience
Ability to move 30 pounds
Sensitivity to cultural diversity and ability to interact effectively with people of all ages and backgrounds
Availability to spend one week in January every two years on campus in Bennington, Vermont.
Hiring Range: $22 - $25 per hour commensurate with experience
